Automations and integrations
Build workflows that react to leads and messages, and connect Pipedrive so qualified leads reach your CRM.
What automations are
An automation is a workflow that starts when something happens in your outreach and then runs one or more steps for you. For example: when a lead moves to Interested, create a deal in Pipedrive.
An automation has:
- One trigger: what starts it.
- Optional filters: which campaigns or stages it cares about.
- One or more actions: what it does.
Automations are available in spaces that have the feature switched on. If you do not see Automations in the left sidebar, your space does not have it yet; ask Atomic BI to enable it.
Do not confuse these with the LinkedIn account switches such as Auto Draft or Auto Send. Those are separate and live in Settings, then LinkedIn Accounts.
Triggers
- Lead moved to stage: fires when a lead lands on a stage you pick. You can also limit it to leads coming from certain stages.
- Message created: fires on messages in a LinkedIn conversation. Choose Any message, Received from the lead or Sent by us, and optionally which stage the lead is in.
- Lead created: fires when a lead is imported or added to a campaign.
For each trigger you can limit it to some campaigns. Leave Campaigns empty to match all campaigns.
Actions
- Send a webhook: sends the event to an address you provide, so your own systems can react. Enter the Endpoint URL (https only) and a Secret. If you leave the secret blank, one is created for you. Use the preview in the builder to see exactly what will be sent before you publish.
- Sync deal to Pipedrive: creates a person, organization and deal in Pipedrive for the lead and copies the conversation so far. Works with the lead triggers.
- Sync message to Pipedrive: adds new messages to the records the lead already has. Works with Message created. It creates nothing by itself, so a lead must already have been synced with the deal action.
Create an automation
- In the left sidebar open Automations, then click Create Automation.
- Enter a Name (for example "Push replies to Pipedrive") and pick the Trigger. You can change the trigger later, but switching it removes steps the new trigger cannot feed.
- Set the trigger filters, then add actions below the trigger. Steps placed next to each other run in parallel; a step below another runs after it.
- Fix anything marked as an error.
- Click Publish. Publishing a new automation turns it on.
Your edits stay a draft until you publish. A published automation keeps running while you edit its next version. Use the menu next to Publish to disable it, revert your changes or delete it. In the list under All Automations you can also switch each automation on or off with the Enabled column.
The list shows each automation's trigger, number of actions and last run. Open an automation to see its run history, with each run marked Succeeded, Failed, Running, Pending, Skipped or Cancelled.
Connect Pipedrive
Pipedrive is the integration available in Settings, then Integrations. This section appears only in spaces that have Automations.
- Open Settings, then Integrations.
- Under "Connect your Pipedrive", click Connect Pipedrive. You are sent to Pipedrive to approve access, then returned.
- Open the new connection. If you see "Custom Pipedrive fields are not set up", create them from that page.
- In the connection settings, choose which Pipedrive activity type a LinkedIn message becomes and which person field receives the lead's LinkedIn profile link. Click save.
- Go to Automations and build the automation that uses Sync deal to Pipedrive. Choose the pipeline and stage where new deals should land. Add a second automation with Sync message to Pipedrive if you want new messages to keep flowing in.
The connection itself syncs nothing. Leads are only pushed by automations you build. The deal is created once and then left alone, so your sales team can move it freely in Pipedrive.
Other connections
If your space already has a Gmail, Google Drive or Lark connection, it stays in place. New connections of these types are not offered in the Integrations list.
